adn099 artist development artist development newsletter music music business organization tools Oct 13, 2024

Organizing your assets is like having a clean desk.

You know where your tools are when you need them.

But what tools should you have?

Here is a list of 9 tools to help you prepare your next pitch to land your next tour.

  • Press Photos
  • Music
  • Videos
  • DSPs
  • Press
  • Boiler/Bio
  • Cheat Sheet
  • Press Release
  • One Sheet

This is a great place to start.

Here are a few quick notes on each item on this list.

Press Photos

Update this with each new release.

Keep two fresh press images, single or album art, and a folder of approved live photos.

This way, if you, your manager, or your booking agent need to share a photo quickly with another artist team or a promoter, you have everything ready in one place.

Music

Have a streamable link to your latest project as well as downloadable tracks.

We like DISCO.

It allows streaming and downloadable links and customization of the landing page with photos, bio, links, and more.

You also can track if someone has been listening to the link you created.

Videos

  • Official videos
  • Live videos
  • “Get to Know Us” videos
  • Viral videos

Make a folder with video assets that can be used for cutdowns into tour assets, and provide a page with streaming links to all your videos that link to your website or YouTube.

Make it easy for your team and any other artist’s team to have everything they need in one place.

DSPs

Create a list of any playlist and streaming stat success you’ve had.

Press

Create a linkable document that showcases the PR you’ve picked up and pull out highlight quotes for easy reference.

Boiler/Bio

Have your latest short-form bio (boiler) and long-form bio in PDF and Word doc form.

Cheat Sheet

Your cheat sheet is like your band bible.

It should have the relevant information on your band and current project.

The cheat sheet is a deep dive for anyone on your team needing more detailed information.

  • Key Dates (release dates, deadlines, tour dates, video shoots, photo shoots, etc.)
  • Tracklist for your current project
  • Streaming links
  • Social links
  • Art
  • Retail links
  • Photo links
  • One Sheet
  • Bio
  • Song quotes
  • Tour quotes
  • Press links
  • DSP highlights
  • Radio highlights
  • Metadata for releases
  • Artist links (website, Bandsintown, web store, DISCO, SetlistFM, Link in bio, SongKick, etc.)
  • Artist DSP links

Press Release

Have a folder that includes your latest press release.

Your press release should comprehensively examine your latest activity and provide historical highlights of your artist project.

One Sheet

Your One Sheet is a clickable PDF highlighting all the latest and greatest on you and your career.

Think of it like a brag sheet.

It should be made to impress.

  • A great photo
  • Logo
  • Upcoming tour dates
  • Video links
  • Streaming links
  • Press quotes
  • Stats
  • Short bio
  • Social links
  • Team Contact

Once you’ve created a folder with all your assets in one place, you can bookmark it on your computer and have it ready to fire off at a moment’s notice 24/7.

I like to keep mine on Google Drive and a backup on Dropbox.

This way, whether you are at your desk at 9 a.m. or at a bar at 2 a.m., you are prepared to promote your projects.

See you next Sunday!
